The basic license of PROGRANTA contains:

Online application

Input mask for the applicant as a freely definable barrier-free online form (optionally also in the corporate design of the client) with different data field types such as text, numbers (including currencies or units), date, formulas, check boxes, file upload function, etc.

Online administration and transaction processing

Editing mask for the administrative users (processors, committee members etc.) as internal administration view.

This offers you a complete, well-structured view of all projects, processing statuses and tasks, as well as all the necessary tools and functions for processing. The processing can be done simultaneously by more than one user.

Single application management

Applicants can submit any number of applications and they will be created independently of each other, and be processed in parallel. Any number of applicants can access their applications simultaneously.

Process Management

Integrated process management controls the entire processing and administration process via freely definable statuses and processing steps. The retrieval of automated work steps and control of access rights can also be stored and initiated in PROGRANTA.

Roles and access rights

Extensive view and access management for any number of groups of administrative users. Users can be assigned to different groups with different access rights per group.

Password Management

Automatic and data-protected password management for all user groups.

Data field based full text search

All database fields can be searched separately for contents and values in all records stored in the system.

Clipboard

Clipboard is available for saving search results, which remains as a saved list during further processing. In addition, the direct retrieval of predefined short statistics is possible.

Print generation

Generation of print-optimized documents optionally in the client’s corporate design: emails, cover letters, notices, lists, information sheets and much more.

Views and reports

In addition to simple documents, you can also generate complex statistics overviews and
controlling lists with content from several applications.
It is also possible to document entire processing rounds directly from the database – as a uniform
document as a CSV/Excel file, text document in MS Word, PDF or even PDF/A.

Print generation options

Documents in a process can be automatically supplemented with content from the database. Since all data is consistently stored in the database at every point of processing, the complete
application or contract content, for example, can be generated at the push of a button.

This also applies to funds calls, proof-of-use lists, reports and other required documents for the processors, such as notices, letters or internal worksheets. If desired, documents can also be released only at specified process steps.

In the case of documents to be sent by post, you have the legal certainty that the documents sent match the contents entered in the database 100%. Including the binding e-signature.

History Log

This module allows complete documentation for each individual record. With one click, the history of the selected record appears.

This function documents in detail all changes in each editing step, such as data storage, email traffic, status changes, notes, deadlines, jury votes incl. timestamps and names of the editors.

The history log function logs every entry and stores not only the original entry (if desired, even the overwritten file in the case of upload fields) but also the timestamp of the change and the user ID of the person who made the changes.

Structured storage of uploaded documents

All documents loaded into the PROGRANTA system are available on a transaction-by-transaction basis.

In addition, the system automatically assigns a file name with a timestamp, which enables the file to be uniquely identified for the operation and data field.

Thus, all uploaded documents are available in a structured form and can be immediately assigned to a process even „outside the system“.

Preset system and info texts incl. log-in and start page

The basic configuration already contains the most important information and instructions that
guide users during registration, log-in and through the editing process. Optionally, individual
texts are also possible.

Online help

A user manual is replaced in PROGRANTA by an always up-to-date online help.

In addition to the help function, further notes can be stored for each data field, as a sub-line or supplementary mousover text.

Important information or files can be displayed per area or project status (e.g. notes for the call for funds only after approval).

The help is always available and up to date. PROGRANTA offers three levels of help texts:

Content help texts for external users
Content help texts for internal users
Functional help texts for all user groups

Accessibility

PROGRANTA is completely barrier-free in all areas according to BITV 2.0 guidelines and functions independently of special technologies (such as Java, JavaScript, Flash, etc.).

No programs or executable files are installed on the computers of users, applicants or user groups. Certain functionalities that increase user comfort (e.g. calendar widget for convenient,
format-compliant date entry) are available to all users who do not have a BITV restriction.

For users with BITV restrictions, alternative, format-compliant input options are included accordingly. A text-to-speech function is usually included with the current Apple/MacOS and Windows operating systems and only needs to be activated by the user.

Mobile use

PROGRANTA can be operated via mobile devices such as tablet, iPad or smartphone.

The workspace can also be adjusted by administrative users (processors, committee members, etc.) to the respective screen or browser window size at any time during use.

Virus protection and word checking

The integrated virus scanner checks every uploaded file for viruses and other malware. It refuses to upload infected files and gives the user appropriate feedback.

If desired, the sensitivity of the system can be adjusted so that, for example, undesired words/phrases are recognized, not adopted or even replaced by defused terms.

Prepared for adaptations and extensions

The application administration, contract and document management system is highly flexible and modular.

This enables individual extensions, quick changes and needs-based adaptations at any time. It is risk-free and takes very little effort compared to other large systems.

The quality-tested modules can be subsequently activated at any time. For example, if the requirements change over time or further management steps are to be implemented at a later date.
